Recording a Measurement

Complete guide to capturing dose measurement data

What is a Measurement?

A measurement record documents the dose measured from a radiochromic film. It captures when the measurement was taken, which films were used, the equipment used, and all associated data and notes.

Measurement Components

Each measurement contains:

  • Film Reference: Which film(s) were measured
  • Date and Time: When the measurement was recorded
  • Measurement Equipment: Scanner or other device used
  • Data Values: The dose or optical density readings
  • Attachments: Supporting files (scan images, analysis data)
  • Notes: Observations or special conditions
  • Purpose/Category: Why this measurement was taken
Measurement Types
  • Quality Assurance: Routine QA measurements
  • Patient Treatment: Verification of patient treatment
  • Calibration: Reference calibration measurements
  • Research: Experimental or research measurements
  • Custom: Other measurement types

Starting a New Measurement

You can begin recording a measurement from several places in the application.

Accessing Measurement Creation
Steps to Start:
  1. Method 1 (Quick): Click "New Measurement" button on Dashboard
  2. Method 2: Go to Measurements menu and select "New Measurement"
  3. Method 3: From a film detail page, click "Record Measurement"
  4. You'll be taken to the measurement creation form
Measurement Form Overview

The measurement form is organized in logical sections:

  • Film Selection: Choose which film(s) to measure
  • Basic Information: Date, time, and equipment
  • Measurement Data: Dose values and readings
  • Optional Details: Purpose, category, notes
  • Attachments: Upload supporting files

Required Fields

The system requires certain information to create a valid measurement record.

Film Selection (Required)

You must select at least one film to measure:

Film Selection Steps:
  1. Click "Select Films" button
  2. A dialog opens showing available films
  3. Filter by batch, box, or search by film ID
  4. Check the checkbox next to each film you want to measure
  5. You can select multiple films for one measurement
  6. Click "Confirm Selection" when done
Measurement Date and Time (Required)

When was the measurement taken?

  • Click on the date field to choose from a calendar picker
  • Enter or select the time
  • Defaults to current date/time but you can change it
  • Important for linking measurements chronologically
Scanner/Equipment (Required)

What equipment was used to measure the film?

  • Select from a list of registered equipment
  • If your equipment isn't listed, contact your administrator
  • Equipment tracking enables quality assurance and cross-reference
  • Some systems may auto-detect based on system settings

Tip: Use QR Codes

When selecting films, you can scan the film QR code to auto-select it instead of manually searching. This is faster and more accurate!

Optional Fields

These fields provide additional context but are not required for basic measurements.

Parent Batch/Box (Optional)

You can link the measurement to a batch or box for organizational purposes:

  • Helpful when measuring multiple films from the same batch
  • Automatically populated if you select films from one batch
  • Can be changed if needed
Measurement Values (Optional but Important)

Enter the actual dose or optical density readings:

  • Dose Reading: The measured dose value
  • Dose Unit: Gray (Gy), centigray (cGy), or other units
  • Optical Density: OD value if applicable
  • Color Value: RGB or other color metrics
Calibration Reference (Optional)

Link to a calibration measurement if this measurement was calibrated:

  • Select from previous calibration measurements
  • Enables dose-response curve application
  • Important for QA measurements
Custom Template Fields (Optional)

If using a template, fill in any remaining optional fields:

  • Fields defined in the template
  • Pre-filled values can be edited
  • Additional context or notes

Attaching Files and Data

You can attach supporting documents and images to measurements for complete documentation.

File Attachment Types
  • Scan Images: TIFF, JPG, PNG images of the measured films
  • Analysis Files: Data files from analysis software (TXT, CSV, XLS)
  • PDFs: Reports or documentation
  • Other: Any supporting documents
Uploading Files
Upload Steps:
  1. Scroll to the "Attachments" section
  2. Click "Add File" or drag files into the drop zone
  3. Select one or multiple files from your computer
  4. Optional: Add description for each file
  5. Files upload immediately (no additional action needed)
File Specifications
  • Maximum Size: 50 MB per file
  • Multiple Files: You can attach many files
  • Total Size Limit: 500 MB per measurement
  • Supported Formats: Most common formats are supported

Pro Tip: Organization

Add descriptive file names and descriptions so you or colleagues can quickly understand what each file contains when reviewing measurements later.

Purpose and Categorization

Classifying your measurements helps organize your data and enables better analysis later.

Measurement Purpose

Select the primary purpose of this measurement:

  • Quality Assurance (QA): Routine QA checks and acceptance testing
  • Patient Treatment: Verification of patient treatment dose
  • Calibration: Reference standard or calibration measurement
  • Research: Experimental or research application
  • Other: Custom or unclassified purpose
Custom Category/Tags

Add additional tags or categories to organize measurements:

  • Examples: "Weekly QA", "Patient Jane Doe", "Equipment Validation"
  • Multiple tags can be applied
  • Useful for filtering and searching later
Status and Notes

Include any relevant notes about the measurement:

  • Equipment status or conditions
  • Unusual observations
  • Special handling notes
  • Colleague names if collaboration was involved

Saving and Reviewing

Once you've filled in the measurement information, save it and review for accuracy.

Submitting the Measurement
Final Steps:
  1. Review all entered information
  2. Ensure all required fields are filled
  3. Check that file uploads completed
  4. Click "Submit Measurement" button
  5. Wait for confirmation message
  6. You'll be taken to the measurement detail page
After Saving

Once saved, the measurement:

  • Is assigned a unique measurement ID
  • Gets a timestamp of creation
  • Film status updates to "Used"
  • Associated films show this measurement in their history
  • Can be edited or deleted by authorized users
Reviewing Your Measurement

The detail page shows:

  • All entered data and information
  • Film associations
  • Attached files with download links
  • Timeline of changes
  • Edit and delete buttons (if permitted)

Viewing Measurements List

Access all recorded measurements to search, filter, and manage them.

Accessing Measurements

View all measurements:

  1. Click "Measurements" in the main menu
  2. Select "All Measurements"
  3. You'll see a list of all measurements in your organization
List Features

The measurements list shows:

  • Measurement ID and date
  • Associated film(s)
  • Purpose/category
  • Equipment used
  • Who created it
  • Quick view button
Searching and Filtering

Find specific measurements using:

  • Search Bar: Search by measurement ID, film ID, notes
  • Date Filter: By date range
  • Purpose Filter: By measurement purpose
  • Film Filter: By specific film or batch
  • Equipment Filter: By scanner used

Bulk Actions

Select multiple measurements to bulk export, archive, or analyze them together (Premium feature).
